More tips for using artificial intelligence when writing longer texts at work

Here are a few more useful tips to help you save time in your daily work. AI can be that assistant we all need to do the lengthy boring part of our work. Try it out if you haven’t yet.

When you’ve written a long text, be it minutes of a meeting, a report, a proposal, an article for a newsletter, a scientific article or other, AI can help you in many ways. It’s often hard to see the wood for the trees, as we say, as you are so involved in your text. And the longer it is, the harder it is to summarize and use for various purposes.

AI can help you

  • summarize it so in a few sentences you can tell your reader what to expect
  • produce an abstract respecting the set number of words for your scientific article
  • turn it into a presentation if you need to show your colleagues what you are working on
  • reduce the word count if you have too many words and are unsure what to leave in or leave out
  • correct the errors and smooth out your awkward sentences.

It can also help you find images and produce charts, graphs or other visuals you may need.

Which AI is best?

It depends on your purpose and field, but here are the ones I use daily. ChatGPT has produced great PowerPoint presentations complete with images to choose from, Copilot has given me the texts for the presentation slides, and Perplexity gives me the references and sources for research results. Other colleagues praise Claude too, and suggest trying several out as they can produce different results.

Of course, you are always in the driving seat and you need to carefully check the results and make sure it is what you intended. But usually it produces a great first draft and can save you a lot of time and headaches.

The secret to good use of AI is complete instructions and using your own texts for AI to work on.

And don’t forget to let me know how it went and if you have any tips for me! We’re all on a learning curve with AI.
