What is Generative AI and how can I use it when writing emails?

Generative AI (GenAI) tools are software applications powered by artificial intelligence that can create new content, designs, or data based on the prompts or training data you give them. They leverage machine-learning algorithms to generate text, images, music and other forms of media.

In short, you can interact with GenAI and it will learn from the prompts you give it. It will tailor its responses to fit the profile and context you give. It can even ask you questions to improve what it produces.

The most popular GenAI tools include the chatbots ChatGPT, Microsoft Copilot and Google Gemini. Perplexity is useful for reliable research results.

Basic steps in using GenAI

Step 1: Download the app or tool and create an account. That way your history will be kept and the tool will adapt to you.

If you work at the United Nations or WHO, Copilot is the authorized GenAI tool that protects your data.

Step 2: Give prompts. A model for prompts is:

  • Persona
  • Context
  • Task (add as many details as possible, as well as language and tone)

Give suitable prompts, including who you are, the context you are in and what your purpose is. If you can include a model or the email you are responding to, for example, then that will help get a good result. Tips on including AI in your everyday work

If you prefer to write your own emails, more and more help is being included in Word and in general. You can download apps and use the free versions to test them out. You will have to pay for more advanced features and for limitless queries.

My current favourites that I have installed as extensions in Word for grammar, spelling and style are:

Grammarly “Grammarly is designed to augment human skills so everyone can communicate more clearly and more easily—while still preserving things like individual voice and key context.”

Quillbot (it’s multilingual) “Want to level up your online communication? Experience the power of QuillBot for Chrome.” Free paraphrasing tool. It supports 52 languages.

Wordtune “Shape your scattered thoughts into exactly what you mean to say with a free AI writer that can paraphrase, rewrite, correct your grammar, and more.”
